All rights reserved. -------------------------------------------------------------------------- The following procedures are recommended for all dealers using the Citrix remote access software: -------------------------------- Verification of Data Entry File update information (information which results in changes to an individual subscriber record in the central station database) that was faxed or emailed to the central station's data entry department should be placed in a bin waiting for verification. When the data entry is complete the use the F1 (display account) main menu option to review the account to be certain that the changes were properly made. Some dealers will want to keep a hard copy of each subscriber's modified records in a file or notebook. This is accomplished by pressing F10 from the main menu to display the reports menu. Then press F2 and "M" to print only the records that have been modified. First, make sure that each of the change requests that you faxed were made and made accurately. Then attach the faxed document to the subscriber record print out and file it. If any additional subscriber records were modified, look over the account to make sure the changes are acceptable. If you require all changes to be cleared by your office there will generally be no additional modified records. -------------------------------- Print Troubles and Dispatches Using the F7 menu option, print all of the trouble signals and dispatches (false alarms) for the previous day. Print for the previous three days on Monday to compensate for the weekend. Dispatches are identified by asterisks (*). Trouble signals are identified by plus marks (+). Dispatched signals are usually false alarms. By reviewing these signals and possibly talking to the subscriber about each incident you can very effectively reduce the probability of future false alarms. Contact with the subscriber after a dispatch also affords the subscriber greater peace of mind and reinforces that they are getting their money's worth for the service. Trouble signals should be reviewed so that preventive maintenance can be performed to prevent system outages and false alarms. All invalid signals are included on this report. It is very important for you to notify the central station of the meaning of each invalid signal so that it will be handled properly when received in the future. -------------------------------- Print Daily Text Files Some dealers receive these files via daily fax or email. If you prefer not to get the files this way then from the remote access main menu press F10 for the reports menu and F5 to print daily reports (described in bulletin 5000). The STR file contains information about problems with your accounts that require your attention. Bulletin 5020 fully describes the types of problems which appear on this report. Some of the items on this report will require your immediate attention. Others you may simply choose to watch.
